How to Change Opening Hours

Basic how to guide on changing opening hours.

How to update your Opening Hours

When you change your opening hours, it is also important to make sure that your bookable hours are also updated.

There are a few ways to update your opening hours, depending on what you need:

To change opening hours, click menu scroll down to opening hours. This will open this view.


 
 If your regular hours are changing slightly - it takes seconds to
  Update your existing Rotas

 If you are changing hours but will need to change back again at the end of the season
  Create a new set of Rotas for different seasons so the swap is easy

 If you want to stop online bookings but might still need to be able to enter phone bookings
  Use booking restrictions to close or block certain days and times

The instructions for each of these options are below:

Go to the 'Rota Sessions' section on the bottom right , and select a Rota in the drop down. eg. Weekday
 
1) Once you have selected a Rota, you can see what sessions are associated with it. They will appear as rows under   'Session    From    To     Type     Online same day cut-off'  eg. Breakfast

To edit a session, simply right click on the session, a box will appear saying Add, Edit and Delete. 

Click on each of the Booking Times and select new opening hours. 


Make sure you click save once you have updated this.

Save out of 'Opening Hours', This will take you back to grid form or plan. 

To check everything is working the way you want - In the 'Grid' use the calendar to go to the dates you have changed and you will see the hours are different if you have gotten everything right. 


2) To create sets of Rotas for different seasons 

1. Open your E.Diary and click on 'Menu'

2. Scroll down and click on 'Opening Hours'

3. Go to the 'Rota Sessions' section on the bottom right , and click on 'New Rota'

4. Give the Rota a Name, and click 'Create'

5. The Rota is created without sessions and hours


To add sessions and hours - right click into the white space under 'Session    From    To     Type     Online same day cut-off'

6. You will see a drop down appear, click 'Add'

7. A 'Session Details' screen will appear. Fill out the Sessions details and Save.





Session Details Key:
Type -
 This flows through to the internet and helps direct internet searches 
Name - this is what will appear to your customers when they go to use the booking form on the internet
First/Last Booking - This controls the times that will be bookable
Table Plan - Ignore this, it is used for complex set-ups
No online bookings for same day made after - This allows you to stop people from being able to book on the same day after this time
Online Booking Message - This allows you to enter a message which will appear on the booking form when customers select this session eg. Lunch during their online booking process

 To add more sessions in the same Rota, right click in the space under the last session and add another session using the same process

Save out of 'Opening Hours' to apply the changes

Again to  check everything is working the way you want - In the 'Grid' use the calendar to go to the dates you have changed and you will see the hours are different if you have gotten everything right.
